Is Someone Else Paying for Session?
We’ve all been there — you’re working with a client and they share with you that someone else will be paying for their sessions (of course, if they’re under 18 — this is expected).
However, for adults, it’s not uncommon for a parent or partner to help cover the cost of therapy. If this is the case, there are a few forms you must have your client sign in order to ensure this process goes smoothly and that there are not any unexpected surprises.
First, your client must sign a Release of Information form for the person who is paying for their counseling sessions. Ideally they would include the individual’s full name, email address, and phone number. Next, you have the client check off the “coordination of payment” box.
Then, upon receiving the signed Release of Information from the client, you are able to email the client directly and send them the Payment Authorization Form. This form states that the payer accepts responsibility for all payments made to the practice and states that the payer is unable to dispute charges.
Once you have these two forms squared away, you’re good to go. You can charge the payer’s card, and you are also authorized to speak with the payer regarding any payment questions or issues.
Make sure you have all your bases covered — and avoid unpaid or disputed sessions — by including the Release of Information and Payment Authorization Form in your Intake Packet. Check out our Easy Intake Packet, which includes these two essential forms, plus six other forms needed when you begin therapy with a new client.
